Overview:
We are seeking a highly organized and experienced Executive Assistant to provide comprehensive support to our Managing Director. The ideal candidate will be a proactive and detail-oriented professional capable of managing a wide range of administrative tasks to ensure the smooth operation of the executive office. Job Responsibilities:
● Serve as the primary point of contact between the MD and internal/external stakeholders.
● Prepare reports, handle documents, and presentations.
● Manage the MD’s calendar, schedule appointments, and coordinate meetings
● Coordinate travel arrangements, including flights, accommodations, and itineraries.
● Accompany the MD to corporate meetings, events and engagements and take minutes of meetings.
● Enter data, maintain databases, and keep records.
● Maintain confidentiality and discretion in handling sensitive information.
● Anticipate needs and proactively address issues to support the MD’s efficiency.
● Order office supplies and replacements, as well as manage mail and courier services.
● Prioritize and manage tasks to ensure timely completion of assignments.
● Represent the MD in a professional and courteous manner.
● Carry out other responsibilities as assigned
Requirements:
● Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
● 2-3 years proven experience as an Executive Assistant or in a similar role.
● Extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint.
● Exceptional organizational and multitasking skills.
● Proficiency in appointment scheduling software such as MS Office Suite, as well as call forwarding.
● Excellent written and verbal communication skills.
● Proficiency in office software and communication tools.
